Protect your revenue and cut complexity with iPostal1 Compliance Center

If you’re receiving mail on behalf of customers, your compliance with USPS regulations is no longer something that can be put off.

The rules have changed, the forms have been updated, oversight has tightened, and the stakes are high.

Falling out of compliance puts your CMRA status, your ability to receive mail, and the revenue stream that digital mailbox services provide at risk. That same risk extends to others: your digital mail customers and your current and future members.

But we know it’s a double-edged sword: ensuring that every customer is compliant can be a daunting task that takes valuable time away from running your workspace.

That’s why we’re proud to introduce the Compliance Center, a new tool built directly into your iPostal1 partner dashboard that simplifies compliance, saves time, and helps safeguard your business.

Why USPS compliance matters now more than ever

The United States Postal Service (USPS) has overhauled its requirements for Commercial Mail Receiving Agencies (CMRAs).

Every workspace that receives mail on behalf of others must be registered in the USPS Business Customer Gateway (BCG). Without this verification, CMRA status will be revoked.

That means no more mail handling and no more income from digital mail services or your virtual or office members.

To make the process simpler and clearer, you can access helpful resources, including the CMRA Tip Sheet and FDB Tip Sheet, both designed to guide operators through the new registration process.

For those may not know, the FDB is the Facilities Database. It’s only accessible to USPS employees. However, you must enter the 1583 and 1583A into the FDB for any location to be verified as a CMRA.

But verification is only step one.

Every customer you serve must also have a current, notarized Form 1583 on file, and because USPS introduced major changes to this form in 2023, many customers are still operating under outdated versions.

At iPostal1, we call these “customer resubmissions" because you have to complete, notarize, and resubmit forms

USPS has made it clear: outdated forms won’t cut it. If customers aren’t compliant, their mail delivery will stop.

This dual responsibility—staying verified as an operator and ensuring every customer is compliant—has left many people struggling to keep up.

Why failing to stay compliant could damage your revenue and reputation

Non-compliance is not an abstract risk. It carries immediate, tangible consequences:

  • Outdated Form 1583s are invalid: USPS is forcing customers to renotarize and resubmit their forms or lose service.

  • Oversight is now digital: Postmasters can instantly check compliance status in the online database, unlike the old paper-based system, where errors could slip through. This means non-compliant accounts are more visible than ever.

  • Warning letters are already being sent: USPS has begun issuing final notices to non-verified operators. These letters are blunt: comply now, or lose CMRA status. There will not be a second chance.

  • Business and brand risks are severe: A mail stoppage doesn’t just frustrate customers—it damages your reputation, erodes trust, and cuts off revenue tied to digital mailbox services.

Here’s the good news: compliance is mandatory, but it doesn’t have to be daunting.

iPostal1 gives you the tools and backup you need to stay compliant

iPostal1 has long been committed to making compliance easier. Our team provides hands-on support to help partners through the verification process, from connecting with postmasters to escalating issues with USPS contacts.

We maintain direct relationships with program managers and inspectors, including senior USPS figures, to ensure that partners have a voice when issues arise.

To simplify the process further, we’ve created tailored guides, including:

These aren’t generic instructions. They’re custom-built resources based on real-world scenarios, including how to work with postmasters who may not be familiar with the updated regulations.

All of these resources are available in the iPostal1 Workspace Resources hub, alongside FAQs, compliance guides, and more.

Keeping uploads simple with the iPostal1 CMRA Support Program

The USPS business customer gateway has made one thing non-negotiable: a registered workspace must match every mailbox customer to a valid notarized Form 1583 and accompanying IDs in the CRD for that location to keep CMRA status intact.

The work is tedious, the risk is instant, and delays mean service disruption and lost commission.

The CMRA Support Program exists to take the routine work off your hands.

Once authorized by operators, iPostal1 can submit compliant customer records directly through the partner dashboard at a cost of $3 per successful upload, deducted from commission but capped at 50% of total earnings, ensuring compliance help never becomes commission pain.

Introducing the iPostal1 Compliance Center

To help address these challenges and make it easier for you to stay compliant without adding extra work, we’ve launched our new iPostal1 Compliance Center.

Built directly into your existing partner portal, the Compliance Center gives you instant visibility into every customer’s status so you can act quickly, reduce errors, and save hours of manual tracking.

It delivers instant visibility into every iPostal1 customer’s compliance status so that you can act quickly, reduce errors, and save hours of manual tracking.

With the Compliance Center, you can:

  • Monitor all customers in one place: Instantly see the compliance status of every customer across all your locations.

  • Update statuses in bulk: Mark customers as compliant, authorize iPostal1 to upload their documents, or indicate that you’ll manage their records manually—all with just a few clicks.

  • Identify outdated forms: Spot customers who signed up with the old Form 1583 before July 10, 2023, and authorize iPostal1 to handle resubmissions.

  • Streamline resubmissions: For just $6 per successful resubmission, iPostal1 will manage the entire process—customer outreach, notarization (at a discounted rate), form upload, and follow-up—so you don’t have to.

  • Track document timelines: See the exact date when documents were uploaded to the BCG, giving you a clear view of compliance activity.

  • Choose your level of control: If you’ve added iPostal1 as a user on your BCG account, we’ll upload customer data on your behalf. If not, you can still use the Compliance Center to manually track and manage compliance.

This isn’t just a tracker. It’s a central hub for compliance management, built to reduce effort and protect revenue.

How iPostal1’s Compliance Center connects to the CMRA Support Program

In December 2025, we expanded our commitment to simplifying the compliance process with the launch of the CMRA Support Program.

It was designed to offload much of the manual work by allowing iPostal1 to manage form uploads, track expiring IDs, and keep compliance records current.

The Compliance Center is valuable for every partner, but it reaches its full potential when paired with the CMRA Support Program because:

  • Enrolled partners can rely on iPostal1 to automatically upload documents, track expiring IDs, and flag accounts that need attention. Compliance status updates flow directly into the dashboard, with minimal effort required on your end.

  • Non-enrolled partners can still benefit from the Compliance Center by manually updating customer records, but the burden of data entry and follow-up remains theirs.

Together, these tools give you both visibility and control, without the headache.

Keeping your customers on track so your business runs smoothly

Compliance isn’t just about protecting your workspace. It’s also about protecting your customers’ ability to receive mail.

For many, the process of re-notarizing Form 1583 feels like an unnecessary burden. That’s why iPostal1 negotiated a partnership with Proof to provide notarization services at a 50% discount.

Combined with our managed resubmission service, this ensures that customers can update their forms with as little friction as possible.

By taking on outreach, uploads, and follow-up, iPostal1 helps customers complete the process quickly while removing the administrative burden from partners. The result: fewer frustrated customers, higher retention, and stronger long-term relationships.

Keeping your digital mailbox business strong and scalable

Digital mailbox services are one of the most scalable revenue streams available to coworking spaces. You can only sell so many offices or desks, but there’s no limit to the number of digital mailbox customers you can serve.

However, none of that potential matters if compliance isn’t maintained. The consequences of falling behind are immediate: lost mail, damaged reputation, and reduced income.

The Compliance Center exists to prevent that outcome. By giving you total visibility, enabling targeted action, and integrating with the CMRA Support Program, iPostal1 ensures that compliance never becomes the reason your revenue stops growing.

Compliance is mandatory, but confusion is optional

USPS isn’t easing up on compliance enforcement. It’s accelerating it. That means the time to act is now.

With iPostal1, you don’t have to face these challenges alone. Between the Resources hub, the CMRA Support Program, and the new Compliance Center, partners have everything they need to stay compliant, protect revenue, and deliver a seamless experience to their customers.
